Dashboard

The Dashboard has quick records of attendance displayed on a line graph for current year and two previous years, grouped by months, with yearly total attendance count. Summary of registered members, categorised by active, inactive, excluded and self registered. It shows any intruder attempt, and users who modified or changed their login email.

The current Birthdays are shown, so that logged on members can post greeting or comment as required. It further shows the latest users that changed their emails (Email) or those that have not logged in after registration for the first time neither changed their passwords.

Post Statistics: shows the number of Scripture comments, Sermon comments, Testimony comments and Birthday comments users have posted across the system. (With a live percentage representation of the total). The latest published sermon is displayed with a link to view the full details. The latest approved testimony is also shown on the dashboard underneath the latest published sermon with a link to view the full content.

Church Attendance

Admin is allowed to mark attendance register for members grouped into various Departments (Mark register on behalf on any other Department), while Heads of the Departments (HOD) are allowed to register attendance for ONLY their Department members.

Admin is able to list already marked register which is grouped by Department, under each Department name by Year, month and the actual date and unique service time or times, without allowing duplicate entry for same date and exact time.

The register that has been marked can be updated as appropriate at any given time by the HOD or data entry personnel or the Church Admin Team.

The system further allows authorised personnel to leave a follow-up note for each individual member that may have missed a meeting when required, to keep the Church informed of member well-being.

Attendance (Cell)

Fellowship or Cell Leaders are allowed to mark attendance record for just their Fellowship (Cell) members (This register helps the Church to provide better welfare or care where necessary), which is unique to the particular Cell group.

They can update the records as required at a later time, they can list and add follow-up note where necessary for members who are absent from any meeting.

Admin is allowed to mark attendance register for Cell members across the system grouped into their various Fellowship groups, also able to list marked register record which is grouped by Cell, under each Cell name by Year, month and the actual date and unique Fellowship meeting time or times.

The System does NOT allow duplicate entry for the same date and exact time, which helps to prevent redundant data.

It further allows authorised fellowship personnel to leave a follow-up note for each individual member that may have been absent at a meeting when required.

The Web & Mobile Application allows the use of an external Bible Application with 37 versions which includes KJV, AMP, MSG, ASV, WEB, BBE and others to aid all Users in perosonal Bible Study in various languages.

The system allows the Admin or Church Office to add selected Holy Scriptures to encourage the members, these Scriptures are available to all users and they are able to add multiple comments to individual Scriptures as well as likes, but the comments will only become published and visible to everyone else after Admin reviews and approves the comments.

Adult Users

Admin are able to add, list, edit, view and delete user title (e.g. Pastor, Deacon, Sister, Evangelist etc), also able to add, edit and delete user work industry for proper classification of members within the system.

The above mentioned are automatically populated from the Database during member registration to further help the Church in gathering tangible information about each individual member.

So the Admin can easily list all the doctors, lawyers, builders et cetera within the Church as required on demand (although, the data is subject to individual user consent, the system also allows each member to indicate a permanent personal data delete request; which will be performed accordingly upon confirmation by the individual).

The system allows users to be listed by the year, month and the actual date they joined the Church, it also allows a precised date range search.

All registered users are categorised into various Departments, while all those who belong to multiple Department will appear on each of the listing as set by the Admin or Authorised Church team members.

The users, who do not belong to any Department, are be listed on a different sub menu, where they could be added to a Department or multiple Departments as appropriate.

The list of all users that have been excluded by the Administration team are also displayed on a different sub menu under the Adult User main menu, the Admin can also perform a permanent Delete action for any user data (if Deletion is requested, the system filters through the entire database to erase every trace of associated data to that particular user).

Registered members are able to view their personal and individual details, perform edit actions as appropriate, upload their profile picture.

They are able to modify or change their user password, all users are able to add or edit their Next of kin information, however, only Designated individuals as set by the Pastor or those with adequate permission, are able to view their giving records which is grouped yearly with a pie chart graphical representation.

All users are able to add, list, edit related Children records (Parents or Guardian are required to enter their Children information themselves for safeguarding and privacy reasons), they are able to view their personal Birthday wishes grouped yearly and also manage their Address details...

The system allows every Parent or Guardian to save their child or multiple children records directly from their user interface and Parents are able to edit the details as appropriate, at any time later.

    The Children of today will certainly participate in the Leadership of tomorrow, it is therefore imperative that as Christian Parents, we actively invest time and quality guidance for the Children. Genesis 18:19, clarifies God's expectation in regards to teaching Children with a goal of raising a generation that pleases God.

    The concept of the Children's Test is designed to enable the Church to determine how well each Child understands the principles of Christianity that is being taught within the Church through practical feedback. So, the system allows the teachers to select a particular group of ten questions, which is printed on paper for children of a selected age group.

    During each test, the questions that the children may not have answered correctly will then, help the teachers to focus on teaching the children on that topic for clarity and to further ensure absolute understanding.

    After the children have completed a test on a printed A4 paper, the teacher retrieves the papers from the children and uses the system to record the answers each child had either ticked, circled or underlined as their chosen answer for each question in the test.

    Once the taken tests are entered into the system, it is automatically marked and grades are assigned according to the correct answers, which will be against the total number of questions. The system further calculates the percentage of each child's score and it shows a grading for their test result. The grade categories are as shown below:

    0% - 20% = Very Low Score
    30% - 40% = Low Score
    50% - 60% = Average Score
    70% = Good Score
    80% = Very Good Score
    90% - 100% = Excellent Score

    Note: these scores are only to enable the Church ensure that every Child is equipped with relevant Bible based knowledge and the grades are not shown to the Children directly, but to their Parents within the system, which further helps individual Parents to encourage and nurture Children accordingly in the way of the Lord. The teenage years starts from 13, we programmed the code to allow the filter to start with age 12 because, at the stage - the Children are about to start Secondary School Education and could be considered eligible, although as the Church deems appropriate.

    So the records is between age 12 to age 17. The teenager's module also allows the Church office to assign Teachers to each age group as required.

    The celebrant list is visible to all users and everyone can comment or leave birthday greetings - although the comments are limited to one per person which makes the layout more dynamic and interesting; but each user is allowed to edit the birthday comment posted by the user.

    So those in the Follow-up team are assigned to contact members and the record of conversations are documented on the system each time they make contact; this will enable anyone else within the Team to continue the follow-up at any given time - due to the history, which one can read to further familiarise with the discussions therein.

    The system has in-built set of email alert functionalities which are triggered automatically once certain actions are performed, such as user registration email confirmation request and without the verification, any newly created account will not be set as active and login access cannot be granted until the user verifies his or her email.

    General Emailing
    • Confirmation request email is sent to the user to verify and give consent by clicking on an account activation link within the email received
    • Password reset action triggers a random generated temporary password which is sent via email to the user and the user is required to update the temp password after successful login
    • Users may request to receive an event notice by email
    Church Activity Emailing
    • Email is sent to the Leader of the Choir, when song lyrics for the choir to minister during individual service or meeting or event is selected and saved, a copy is also sent to the Head of the Technical audio visual team for projection during praise and worship - that helps the congregation to easily sing along

    Personnel & Settings

    This module of the system is referred to as special for various reasons, mainly for the complex logic of the functionalities within.

    Firstly, it enables the Admin or Pastor to create other Amdin or Staff user accounts, to further assign specific permissions that will determine the actions they are allowed to perform (which is very key), the System allows members to be assigned Staff or Admin role and verse versa.

    Secondly, it allows the Admin or Pastor to filter through individual giving record. These records include the Tithe givings which shows tithe records within each year, all other giving types are captured and grouped in an easy to read format accordingly.

    The system also displays a summary to show the total of records contained across from the database record and ultimately, graphical representation are also dynamically generated using the Database saved records on demand.

    System Configuration allows the main Admin or Senoir Minister to set:
    • How many scriptures should be displayed per page
    • The amount of Sermons displayed on each page
    • The number of follow-up report displayed on each page
    • The limit of Member Care note to be displayed at once
    • The number of Sermon comments displayed
    • The number of Testimony comments shown on each page
    • The amount of Scripture comments that should be display
    • The number of testimonies to show on each pagination
    • How many notifications should be displayed at once
    • The Currency that will be used as the default across the system
    Security Allowance allows the main Admin or Senoir Minister to affirm if:
    • Other Admin users can copy any page contents
    • All Staff members can copy the contents of any page
    • Head of Departments (HOD) copy the contents of any page
    • All other Members be allowed to copy the contents of any page
    • Other Administrators can perform Screenshot action
    • All Staff Personnel should be allowed to perform Screenshot action
